Features

Each module solves a specific task for the manager. Below — exactly what the app does and what it looks like.

Mini demos

Limes, 3 kg — price per kg

  • Agro€3.50lowest
  • Fresh€3.90
  • Market€4.20

  • Cream 33 %

Mini demo: FIFO cost

  • Batch 1: 1 kg at €5.001.0 kg
  • Batch 2: 3 kg at €6.003.0 kg

Cost: €5.75 per kg
Left: 4.0 kg

  • Price and alternative comparison

The full cost of an order at every supplier — not just the unit price.

The app applies your agreements, whole packs, minimum order and delivery, and tries different ways to split lines between suppliers. «Alternatives» suggests the same thing cheaper, faster or in a different pack: cherry tomatoes only for cherry tomatoes, Scotch whisky of the same volume.

  • Favourites and regular items

A shared team list: what we order regularly and how the price has changed.

You can see who added an item and when, the price then and now — «+€0.40 (+2.6 %) since added». «Order from favourites» creates a separate requisition for the manager.

  • Agreements and discounts

A discount on everything, a category, an item code, or a fixed price.

The order calculation picks up your price on its own: «list price €48.12 / your price €45.71 (−5 %)». Priority: fixed price → discount on a code or category → discount on everything. Cancelled ones stay in the history.

  • Margin control

Dishes below the margin threshold — with the price that restores it.

«Raise price to X» — the lowest price in whole cents at which the margin is not below the threshold. Three fixes: raise the price, change the recipe card, choose an alternative ingredient.

  • Stock by zone and prep items

Bar, kitchen, floor — each zone with its own stock and staff.

Prep items enter stock only via «Make a batch»: ingredients are written off by the recipe card once, and selling a dish writes off the prep item. Transfers between zones are logged.

  • FIFO cost

Cost by batch, not by the last price.

Every delivery is a batch with its own price. Consumption takes the oldest batches first; the item price is the weighted average of what’s in stock: 1 kg at €5.00 and 3 kg at €6.00 = €5.75 per kg. For each dish you see «a week ago» and the cost increase.

  • Shortages with auto-send

«Out of stock» from a phone — the requisition reaches the manager on its own, on a schedule.

No duplicates: you see who already flagged it and what is already coming from the supplier. Each flag has a status until the item arrives. Auto-send on the days and at the time the manager sets.

  • «Deliver no later than»

A banquet on Saturday: the calculation shows what urgency costs.

Off by default — the lowest-cost order is calculated. Turn it on and you get two calculations side by side: «by the deadline: €381.80, no deadline: €366.00 (+€15.80 for urgency)».

  • Payment terms and payments

Due dates counted from the delivery date by each supplier’s terms.

Prepayment, on delivery, after N days or by a day of the month. «Hand to accounting», «Paid», a register with bank details in one file, and «To pay» on the dashboard.

  • Item codes

One item at different suppliers — one position.

Provido’s own code for food, drinks and household goods. It drives price comparison, alternatives and the link between stock counts and stock. Whatever the rules could not decide is checked by a person.

  • One catalogue

Supplier price lists from Excel and CSV — in one catalogue.

The app reads Excel and CSV itself; PDF price lists we load together with you during onboarding. Every price has a source: file, sheet, row. Each upload is a dated version; you can see whose price list is out of date. The catalogue currently holds 5,344 items from 8 suppliers’ price lists.

  • Roles and permissions

Owner, manager and staff by zone.

Permissions are checked by the server, not the screen. Staff see their zone and no prices in shortages; the manager approves requisitions and places orders; the owner sets limits.

  • Three interface languages

Latvian, Russian and English — switch in one click.

Texts are written for restaurant work, not machine-translated. E-mails to suppliers are in Latvian.

  • «Rebuild order»

A supplier did not deliver — the missing items are ordered elsewhere in a minute.

First from those already delivering this order — with no extra delivery cost. The extra cost and the e-mail are shown before you confirm; within the owner’s limit it happens automatically.

  • Stock count

From a phone or from Excel — stock changes only after a check.

Before submitting — «What will change». A full count zeroes what was not found; a partial one changes only what was counted. The difference goes into the log as a shortage or surplus.

  • Several locationsin development

Each location is its own restaurant in the database, with shared rules.

A chain-wide dashboard and a single chain order are in development. For now, each location works in its own account.

Control and data

What is visible in the system and what it is based on.

  • Supplier price history

Every price-list upload is a dated version with the source row. You see whose price list is out of date and how an item’s price has moved.

  • Confirmations and deviations

The supplier’s reply, a partial confirmation, a short delivery at goods receipt — on the order card, with a suggestion of what to do next.

  • Roles and permissions

Owner, manager, staff. Staff see their own zone and no prices; permissions are checked by the server, not the screen.

  • Activity log

Orders, price changes, stock corrections and payments are recorded with author and time. Entries cannot be deleted from the app.

  • Reports

The manager’s dashboard: orders, purchases, savings per line, «needs attention». The payment register — one file for the accountant.

  • Stock count

From a phone or from Excel. A full count zeroes what was not found; a partial one changes only what was counted. The difference goes into the log.

Data

  • Each restaurant sees only its own data — a rule of the database itself (row-level security), not of the screen. Checked by automated tests.
  • Login via Supabase Auth: we do not store passwords. The session lives in a protected cookie.
  • Amounts, quantities and dates are calculated by code under tested rules. A language model does not write prices.
  • Data export and deletion — on request; the procedure is set out in the contract.
