How it works

The four steps of one order, onboarding in 7 days and 2 weeks free.

How purchasing is done today

Four situations every manager knows.

  • Requisitions in messengers

The kitchen writes in one chat, the bar in another. What is already ordered and what is not is known only to the person putting the order together.

    Consequence: duplicate orders

  • Stock levels in the chef’s head

Par levels and «how much goes over a weekend» live in memory. They go on holiday with the person.

Consequence: urgent orders at a high price

  • Mis-picks and goods receipt on the run

Wrong pack, wrong quantity, a price above the list — noticed at goods receipt, when it is too late to change. Stock on hand and food cost get corrected later.

Consequence: money lost at goods receipt

  • The buyer as the single point

Price lists, agreements and delivery terms are known to one person.

Consequence: the order waits when that person is away

In Provido it is one system.

How it works

The four steps of one order. What a person does, what the supplier gets, what stays in the records.

Staff
  • A cook or bartender flags the item from a phone in their own zone. Giving a quantity is optional.
  • You can see who has already flagged it and what is already ordered or on the way (in the last 24 hours), so there are no duplicates.
  • Anything urgent is marked with a red exclamation mark.
Supplier
Receives nothing.
In the records
A flag with author, time and zone.
Step 1 of 4

What stays with a person: confirm the calculation before sending, check the supplier’s reply, receive the goods. The system does not send an order without the manager’s action.

What each role gets

Specific tasks that leave the chats and people’s memory.

Purchasing and payments without manual reports

  • Sees purchases by supplier and payment due dates
  • Gets an order register for the accountant
  • Sees who ordered what

Onboarding

About 7 days to the first order. What we do and what we need from you.

  1. 1 working day

    Request and walkthrough

You send a request, we show the system on your own items and agree the launch.

  2. 1–3 days

    Catalogue and suppliers

We load your suppliers’ price lists and enter their terms: minimum, delivery, days, payment.

  3. 30 minutes

    Team and zones

We set up staff by zone and show the manager the calculation and the order — in Latvian, Russian or English.

  4. by day 7

    First order

The team flags shortages; the manager sends the first order from a ready calculation.

  5. included in onboarding

    Training

We train every member of the shift staff and the manager: how the app works and how to use it. We give you video instructions.

What we do

  • Load the price lists (Excel, CSV; PDF together with you) and enter the suppliers’ terms
  • Set up the team, zones and roles
  • Train the manager and every member of the shift staff, give video instructions
  • Support the first orders

What we need from you

  • Supplier price lists and their terms: minimum, delivery, days, payment
  • Supplier e-mails for orders
  • A list of staff and their zones (bar, kitchen, floor)
  • Optional: stock on hand and recipe cards

The first two weeks

In the first week we help you connect and work alongside you. In the next week the app is free. In total, 2 weeks with no payment.

estimate

Estimate methodology

Every estimate on the site has a source and assumptions. These are not our measurements.

8–22 % — price spread

The price spread for the same item across suppliers, per MarketMan’s price analysis. It is potential, not a promised benefit: the calculation uses 5 %.

≈8.6 h a week

Manager time on orders, reconciliation and suppliers, per the NRA Restaurant Technology Report 2025.

Up to 85 % of the time on orders is taken over by the app (per our model)

Our task model for a typical restaurant (3 orders a week, 4–6 suppliers, ~25 lines, 6 deliveries): of ≈14.3 h a week on purchasing, stock and payments, ≈2.1 h remain. The app itself counts the time saved on every order: 7 minutes per requisition and 3 minutes per price-checked line.

€8,562 in purchases per month

Revenue of the Latvian food-service industry (IBISWorld 2026) divided by the number of businesses, with a 30 % share for food and drink purchases.

How we count

  • A venue is active if it had at least one order sent to a supplier in the last 90 days. Demo and internal accounts are excluded.
  • Orders — supplier orders that actually went out (sent, confirmed, delivered, closed). Test, unsent and cancelled orders are not counted.
  • Purchases — on each line: the received quantity, else the confirmed one, else the ordered one, × the order price; excluding VAT (21 %).
  • Benefit on a line: (reference price − actual price) × quantity, never below zero, excluding VAT. The reference is the higher of two: the last price this venue paid for the item, or the median of all offers for the item on the order date. Lines with nothing to compare are excluded.
  • A figure is shown only with a sufficient sample: at least 3 venues and 50 orders. Otherwise we show a note about the current stage, with no number.

Formula

  1. Saving on price = purchases × 5 %.
  2. Time saved = hours a week × 85 % × 4.33 × cost of an hour.
  3. Total per month = the sum of the two lines above.
  • The price gap is 5 % of purchases: the part of the price spread between suppliers that we take into the calculation. Industry estimates of the spread are higher; we do not promise them.
  • Time: 8.6 hours a week on orders and reconciliation (per the NRA report), a manager’s hour is 12 euros. Up to 85 % of that time is taken over by the app — per our task model.
  • The subscription and the one-off setup are not part of the estimate.

Default — €8,562 in purchases per month: the average Latvian venue (industry revenue per IBISWorld 2026, 30 % purchasing share). Hours a week and the cost of an hour are fixed in the calculation: 8.6 h and 12 euros.
